This guide mirrors the Cognix admin console. The dark rail on the left is your table of contents — it matches the sidebar you'll see inside the product. Jump straight to a module, or read a whole chapter to master an area.

About the screenshots. The screens in this manual are captured from the live Cognix admin console and marked up to show exactly where to click. Your own instance carries your organisation’s branding, colours, and data, so small cosmetic differences are normal.

Who can do what
This manual is written for the Administrator — the person who runs learning for their organization. A lighter Manager role also exists on the learner side. What you see in the sidebar depends on your role and the individual permissions granted to it.

Permissions are granular. Individual capabilities (for example rbac.manage, assessments.manage, audiences.manage, integration.manage) can be switched on per role in Roles & Permissions. Each module in this manual notes the permission it needs. If you can't see a screen, your role likely doesn't have that permission or the module is switched off for your organization.

Cognix is a two-pane app: a navigation sidebar on the left, your working area on the right. Admins get an extended sidebar grouped by function.

Admin navigation is organized into Overview, People, Content, Engagement, Skills, Compliance and Platform. Items you lack permission for are hidden.

Lists, builders and dashboards render here. Most lists support search, filters, row-expand for detail, and bulk actions.

Search across content and people from the top bar; your avatar menu switches language, theme, and (when proxied) returns you to your own account.

Switching sides. The same account can hold learner and admin views. Use the sidebar to move between /admin/… screens and the learner experience — handy for previewing exactly what your people will see.
Day one
Signing in & proxy login
Sign in
Open your Cognix URL and enter your email and password. If your organization uses single sign-on, choose Sign in with SSO instead.
First time in? Complete the brief onboarding prompt (name, language, preferences). You'll land on your role's home — admins can open the sidebar's admin groups directly.
Proxy login (impersonation)
Proxy login lets an admin securely “become” another user to reproduce an issue or verify access — without knowing their password.
Go to Users, find the person, and open their row actions.
Choose Proxy login. Cognix parks your own session and reloads as that user.
When finished, use Return to my account (top of the screen) to switch back instantly.
Who can proxy. Proxy login is governed by the users.impersonate permission and is scoped to users in your own organization. Every proxy session is recorded in the Audit Log.

Add & import people
Add one user. Click Add User, fill Full Name, Email, Password, and Role. Optionally set Department, Job Role, Branch (org placement), and Manager, then Create User.
Bulk import. Click Import CSV → Download template, fill it, then Choose file. Rows are validated first (a dry run); review the N valid / N errors summary and click Create N users. Grab a Download error report for skipped rows.
Export. Click Export to download the current (filtered) list as CSV.
Manage an account
Edit — pencil icon → change fields → Save Changes.
Reset password — key icon → Set a password or Send reset link (Email / SMS / Both). If no provider is configured, copy the generated link.
Activate / deactivate — power icon toggles status.
Proxy login — the log-in icon opens that user's account directly (needs users.impersonate). Return via the banner at the top.
Seats. Admins and learners both consume a license seat. The Seat Allocation banner shows used / available / total; Add User is disabled at the seat limit or when no license is assigned. Users imported without a password must be sent a reset link before they can sign in.
Org Structure
Admin
Maintain the Zone → Region → State → Branch organizational master. It's a managed list (not free text) that powers user profiles, the branch picker, CSV imports, and report filters.

Add a unit. Click Add unit, choose the Level (zone / region / state / branch) and its Parent, type a Name, and for a branch an optional Branch code (HRMS).
Bulk import the whole tree. Click Bulk import → Download template (columns: Zone, Region, State, Branch, Branch Code), one row per branch, then upload. Re-imports are idempotent — only genuinely new units are created.
Rename / delete. The pencil renames (and cascades to every user placed under the old name); the trash icon deletes.
Until at least one branch exists, the org picker simply won't appear on the Users dialog. Set the structure up first.
Roles & Permissions
rbac.manage
A live matrix that decides what each role can access — plus the ability to create custom roles. Flipping a switch changes access immediately for everyone holding that role.

Change a permission. Find the permission row (rows are grouped by area) and flip the switch in the target role's column. It saves instantly — there is no separate Save.
Gate modules per role. Scroll to Learner modules and Admin modules and toggle each module for the role. Off = hidden from that role's nav and the route is blocked.
Create a custom role. Click + Create role, set a Role name, choose Copy permissions from (blank or an existing role), and an Org scope (whole company or a zone/region/state/branch). It appears as its own column; assign it to people on the Users screen.
Super Admin is locked to full access as a recovery path — its switches are always on. A super admin creates platform-wide roles; a company admin creates roles scoped to their company.
Audiences & Groups

Target learning to a set of people — either by rules (dynamic) or by hand-picking members (custom group). Members are automatically enrolled into whatever courses and programs the audience is assigned.

Dynamic (rule-based) audience. Click New Audience, name it, set Type = Dynamic (rule-based). Choose Match ALL rules or Match ANY rule, then add rule rows — pick a field (Department / Job Role / System Role), an operator (equals / contains), and a value. Tick items under Assign Courses / Assign Programs, then Create audience.
Custom (hand-picked) group. Set Type = Custom group, use Search users… and tick each person, assign any courses/programs, then create.
Re-sync / edit / delete. On a card, Sync re-materializes enrollments for current members; the pencil edits; the trash deletes.
Membership is live. A dynamic audience recomputes who belongs every time you save or Sync (and hourly). Sync is additive — it ensures enrollments exist but never removes them if someone later falls out of the rules. A company-owned audience can only contain users from the same company.
Assignment Automation

Automatically enroll people into a course or learning path — either when they're hired (on-hire, after an optional delay) or on a recurring interval — without assigning each time.

On-hire rule. Click New rule, set Trigger = On hire (new joiners), choose Content type + Content ID, optionally narrow by Audience or Department, set Days after hire (0 = immediately) and an optional Due in (days), then Create.
Recurring rule. Set Trigger = Recurring interval and an Interval (days) (e.g. 30). It re-fires only after the interval elapses.
Enable / run / delete. Toggle the Active checkbox; Run now forces an immediate scheduler tick; the trash deletes.
Targeting precedence is Audience → Department → Everyone in company. On-hire is tenure-based and idempotent, so it also picks up back-dated/imported hires — not just brand-new ones. The scheduler runs ~hourly (and re-syncs dynamic audiences first).
Pre-onboarding
programs.manage
Invite prospective hires to a single learning path before their start date. They set a password on a public link, get a learner account provisioned, and receive access to just that path.

Single invite. Click New invite, enter Email + Name, choose a Learning path, set Expires in (days) and an optional Start date (stored as their hire date), then Send invite.
Bulk invite. Click Bulk invite, pick one path, and paste candidates as email, name — one per line (up to 1000). Duplicates and invalid emails are skipped and reported.
Manage. Copy the invite link, re-send the email, or revoke — the last two disappear once an invite is redeemed.
Status badges: redeemedpendingexpired. If an account with that email already exists, it's linked instead of duplicated.
Enrollments
Admin
Assign any content type to individual learners or groups, and track, extend, complete, export, or revoke every enrollment per learner. It also surfaces content a learner can see but isn't formally enrolled in.

Assign content. Click Assign Content (or a Quick assign card). Confirm the content-type chip, tick one or more items under {Type}s to assign, switch to the Users or Groups tab under Assign to and tick recipients, set an optional Due date, then Assign. Already-assigned pairs are safely skipped.
Review a learner. Click a learner row, then filter by Type chips and the All / Active / Completed / Paused tabs.
Bulk act. Tick enrollment rows for Extend due date, Mark complete (issues certificates where configured), Revoke selected, or Export CSV.
Enrollment = visibility. Enrolling someone also grants content access and clears any exclusion, so the item shows in their catalog. Revoking removes only the direct grant it created — broader company/department/group grants stay intact. Group assignments are tracked per-member (shown as the Source) so you can revoke one person independently.
Seats & modules. Your organization has a licensed number of seats — admins and learners both consume one. The Users screen shows your seat usage. Which modules appear in your console (and this manual) is set by your platform team; if something referenced here is missing, that module may not be part of your plan.

Courses & the editor
Admin
Create, organize, publish, and manage the course catalog. Each course holds an ordered list of modules — video, SCORM, documents, quizzes, links — that learners work through.

On the Courses list
Create a course. Click Create Course, fill Course Title, Description, Cover image (paste a URL or Auto-pick with the assistant), and Category.
Publish. On the card, click the Live / Draft toggle. Learners only see published courses (you can still Preview a draft).
Control access. The lock icon (Assign access) opens Manage access — grant by Everyone, company, department, group, or specific user; a Revoke access mode carves someone out of a broader grant.
Inside the Course Builder
Add a module by upload.Upload content → drop a file. Accepts SCORM .zip, video, PDF, PPT, DOC, XLS, HTML, up to 1 GB. SCORM launches in the in-app player; video/documents play in-app.
Add a module by link. The External URL tab takes a Title, Type (Video / Document / Quiz / Link), Content URL, and Duration. SharePoint/OneDrive links embed and honor the source's permissions.
Captions & dubs. On a video/SCORM module, CC uploads an .srt per language or auto-generates & AI-translates captions; Dub generates translated audio (needs the AI Video Dubbing module + a provider).
Enforcement rules.Rules toggles Restrict navigation (disable seek bar) and Auto-pause on tab/app switch, and adds chapters, in-video questions, and an end-screen call-to-action.
Details & storefront. The right panel sets Difficulty, Duration, Language, and a Language group; the Storefront card can list the course for sale on the public store.
Language groups. Give every language version of a course the same Language group code — completing any one version then marks the others 100% complete for that learner. Games aren't a direct upload type: they're produced in AI Authoring and published as interactive SCORM courses.
AI Authoring Studio — “Muse”
Admin
Generate a complete multilingual course — outline, lesson content, narrated video, assessments, and interactive games — from a text prompt or an uploaded document, then render and publish it straight into the catalog.

The 5-step wizard
Course type. Pick Masterclass (narrated video), Checkpoint (a graded quiz), Bootcamp (mixed media), or Playground (gamified). Game courses also choose an engine: Game, Game Pro (GDevelop arcade), or Game Pro 3D (Three.js worlds).
Topic & source. Name the project, then either describe a topic (with Suggest topics) or upload a document — choose Use for context (AI reads it) or Retain the document (a .pptx becomes the course, handed to Manual Authoring).
Outline.Generate outline, then drag to reorder and change any lesson's type (Video, Scenario, Activity, Assessment, Game, Flashcards).
Production settings. Choose Language, Narration voice, Music, and a Render method — Standard (free narrated video), Cinematic (AI-generated scenes), or Presenter-led cinematic (a lifelike HeyGen presenter). Optionally upload your own final video, presenter image, background, or logo.
Render & publish.Generate all content → Open editor to fine-tune scenes → Approve all & render. Then Publish in more languages, Download package (SCORM 1.2), Preview course, or Publish to LMS.
Setup matters. Which render tiers and voices are available depends on how AI providers are configured for your organization by your platform team. Indian-language voices sound native only when the speech provider supports them. You must approve the storyboard before rendering. Each extra language is separately re-rendered into its own native video.
Manual Authoring — PowerPoint → SCORM
Admin
Import a PowerPoint deck and keep it as the course — each slide becomes an editable narrated scene (no AI rewrite) — then render narration, add knowledge checks, and publish or export.

Render & ship.Review & render → Approve all & render, then Publish to LMS or export as MP4, HTML5, SCORM 1.2/2004, or xAPI.
This is the no-rewrite path — slide text/images are kept exactly; only narration is generated. Reaching it from AI Authoring: choose Retain the document on a .pptx.
Channels
Admin
Configure the content “rails” (rows) on the learner home page — their order, visibility, and what content each pulls in.

Custom source. Pick a mode — by category / skill / department tag, by group, by keyword, or Hand-picked content (mix Courses, Learning Paths, Assessments, Assignments).
Audience & order. Under Who sees this channel add rules by Everyone / department / group / user; reorder rows with the up/down chevrons; the switch enables or disables a rail.
Some channels are platform-provided templates you can rename, reorder, disable, and re-scope for your organization; others you create from scratch. Leave the audience list empty for “everyone.”
Learning Paths
Admin
Build curated, multi-step journeys (Folder → Topics → Subnodes) that string together courses, sessions, assessments, surveys, and assignments — with optional completion / score / date gating between steps.

Create.Create Path → Title, Description, Estimated Hours. Under Structure, pick a Folder (Galaxy), Add topic nodes, and Add milestone subnodes. Click Create and Configure.
Fill milestones. For each milestone choose a type (Course / Classroom / Assessment / Survey / Assignment) and the specific item; reorder with arrows.
Set dependencies. Per milestone, tick Req (required to finish the path) and/or Lock (locked until prior required steps complete). The gear reveals Pass ≥ % (assessments), Unlock on (a date), or after N days of starting the path.
Publish.Save structure, then use the card's Live / Draft button. Enroll learners from Enrollments, not here.
The relative-days clock starts when the learner begins the path. A related screen, Learning Path Config (under Platform), controls which learner path views (Journey, Steplist, Cosmos 3D) are available.

Inspect. Click a row to expand its questions. For an auto-generated assessment you'll see the generation-rule summary instead of a fixed list.
Open the Builder. Click the Build (sliders) icon — the only route to sections, proctoring, and the bank picker.
Assessment Builder

The full configuration workspace for one assessment: exam behavior, proctoring, sections, and the questions — added manually, picked from the bank, or drawn automatically by tag rules.

Exam behavior. In Settings toggle Mandatory, Shuffle questions, Shuffle options, Negative marking; set Generation mode and Show review report (Always / After submit / Only after passing / Never); add learner Instructions. Click Save config.
Proctoring. Flip Enable camera, then set Capture type (Picture / Video / Both), intervals, Continuous video, Resolution, and auto-delete retention.
Manual mode. Add a Section, then From bank (search + filter by type/complexity/category/skill/level/job role/batch, tick, Add N selected) or Manually add to author a new question inline.
Auto mode. Add a Rule — set Number of questions and optional facets. Each attempt draws that many random matching bank questions.
Manual vs auto. Manual links a fixed set; auto stores rules and materializes a fresh, random, shuffled set on every attempt. Switching to auto makes any manual questions inactive. Generation mode saves the instant you change it; everything else saves with Save config.
Question Bank

A reusable, taggable library of questions of every supported type. Author once here, then draw on them from any assessment's Builder — manual picks or auto rules.

CSV import supports the five simplest types (multiple choice, image/video question, fill-blanks, descriptive) — richer types are authored in the editor. Fixed facets (category/skill/level/job role) show as sky badges; custom tags as amber #tags. Media can be uploaded, stock-searched, or AI-generated (audio is upload-only).
Proctoring Review

The reviewer console for camera-proctored assessments — inspect each learner's captured snapshots/clips and violation trail, and flag or invalidate suspect attempts.

Pick an assessment. The top dropdown lists only proctoring-enabled assessments.
Open an attempt. Click Review to see the Violation trail (app-switch, lost focus, exited fullscreen — with timestamps) and Captures (click a thumbnail/clip to open it).
Decide. Add a Reviewer note, then Flag attempt or Invalidate (marks the score invalid for reporting). Clear review reverses it.
Violations are logged live by the learner's test runner, which also warns and can auto-submit. Captures can be set to auto-delete after a retention window in the assessment's proctoring config.
Classroom Training

Schedule and run instructor-led (ILT) and virtual (VILT) training — rosters and waitlists, attendance (including bulk Excel upload and signed-sheet proof), and back-dated past sessions.

Create a training + sessions.New training (title, batch, level, organizer, optional Require acceptance / withdrawal approval) → then Session for each session (instructor, ILT/VILT, start/end, platform, seats, waitlist).
Add participants. On a session, Participants → pick people on Company users (filter by role/dept/branch), choose Registered / Present / Absent. Or the Excel upload tab: Download template (Email, Name, Attendance) → upload.
Attendance proof.+ Proof uploads a signed sheet/photo; Approve finalizes completions and issues certificates. Log past training back-dates a session that already happened.
Excel emails must match existing users (unmatched rows are skipped). Nominations are a manager action from “My Team,” not an admin one — admins use the Participants roster. Auto-create meetings for virtual sessions when a conferencing integration is connected.
Assignments
Admin
Create graded learner assignments with configurable submission types, attempts, late policy, and an optional weighted rubric; then review, grade, return, and track submissions.

Policy & rubric. Set Late window (days) (0 = no late) and Late penalty (%); choose Submission types (File+text / File only / Text only / File+text+link) and Reviewer (Trainer / Reporting manager / Branch admin); optionally add a rubric as criterion: weight per line.
Grade. The row's ⋯ → Submissions lists submissions; Grade saves a Score + Feedback, or Return sends it back for changes.
The rubric guides the grader; grading is a single overall Score + feedback (weights aren't auto-summed). Late window and penalty are independent.
Library
Admin
A central document/resource repository — attach links or upload files (PDF, Office, HTML, images), organize into folders, version files in place, and control who can view each folder or item.

Version in place. On a file item, Upload new version keeps the same ID (existing references stay valid), archives the prior version, and bumps to v2, v3…
Access. The lock icon on a folder or item scopes visibility to everyone / a department / a group / specific users.
Deleting a folder keeps its documents (they become “unfiled”). Preview files in the in-app viewer via the eye icon.

Design certificate templates (drag-and-drop, with per-certificate QR verification), auto-issue on completion, set validity/expiry for recurring certifications, and issue or download manually.

Design a template.Certificate Designer → name it, arrange elements (logo, background, text placeholders), toggle QR Code per certificate.
Auto-issuance. Under Attach to Intervention, pick a type (Course / Path / Classroom / Assessment / Assignment), the target, and a Validity (No expiry / For months / Until date). The cert issues automatically when a learner completes that item.
Issue manually.Issue Certificate → pick recipient, intervention, template, and validity.
Set a months- or date-based validity for recurring certifications — expiring ones surface under “Expiring soon / Expired.” Classroom certificates finalize only when the attendance proof is approved. Each QR encodes a live /verify/<number> check.

Keep learners active and motivated: community forums, surveys, forms, approval workflows, gamification, a rewards shop, and skills tracking.
Forum

Create and manage community discussion “groups” (topic or cohort spaces), control who belongs to each, and publish or unpublish them. Admins are automatic moderators of every group.

Moderate. Open the group's feed from the learner-side Community → Forum for hide / restore / delete and the reports queue.
The Moderator role can only be granted to an individual user. Deleting a group removes all its posts and comments.
Surveys

Build multi-question surveys (standalone or tied to a course/registration), collect responses, and review aggregated analytics.

Lifecycle is draft → active → closed; only active surveys collect responses. Delete is irreversible.

Maintain a categorized list of frequently asked questions shown to learners, with per-entry publish control and audience-based access.

Create.Create Form → Title, Type, Status, Description.
Add fields. Click the type buttons — Short text, Long text, Dropdown, Multiple choice, Checkboxes, Number, Rating (1-5), Date. Label each, mark Req, and reorder. Choice fields take comma-separated options.
Collect & export. Set Status to active to receive submissions; the ⋯ → View Responses shows each submission with Export CSV.
Duplicate clones a whole form for versioning; delete also removes its responses.
Approval Workflows
Admin
Define the ordered approver chain for each request type learners can raise. Requests then route step-by-step, notifying the approver at each level.

Build each chain. On a request-type card (Course request, Content request (CRF), Training request (TRF)), click Add step and set each approver to Reporting Manager or Administrator; reorder with arrows.
Save. Click Save — new requests route through the chains.
A type with no steps is auto-approved. A Reporting-Manager step for someone with no manager auto-promotes to an Administrator step, so a request never dead-ends. The chain is snapshotted onto each request at creation — editing here doesn't change in-flight requests. Final approval on a Course request auto-enrolls the learner.
Gamification
Admin
Run the points / badges / levels program — review standings, award or deduct points and badges, define automatic award rules, group learners into seasonal cohorts, and reset for a new season.

Automate. On Award rules, New rule → set a trigger (Course completed, Assessment passed ≥ threshold, Path completed, High score, Streak milestone, Badge earned), points, and Frequency (Once per item / Once per learner / Every time).
Cohorts & reset. Build seasonal Cohorts with an optional season window; Reset leaderboard starts a new season (irreversible).
The 10 badges and the 11 point-based levels are system-defined — you grant existing badges; levels are computed from cumulative points. Points never drop below zero.
Rewards Shop

Configure the catalog of items learners redeem points for, and process (approve / reject / fulfil) their redemption requests.

Add rewards. On Catalogue, Add reward → Title, Points cost, Stock (blank = unlimited), image, visibility — or bulk-import via the CSV Template.
Process redemptions. On Redemptions, a pending row offers Approve / Reject (reject refunds the points); an approved row offers Mark fulfilled.
Redeeming debits points and stock immediately; rejecting or cancelling an unfulfilled redemption refunds both.
Skills & Competencies
Admin
Maintain the skills taxonomy, build competency frameworks (skills + target proficiencies), run gap analysis against your people, and optionally generate a framework from a job description with AI.
Build a framework. On Competency Frameworks, New framework → add required skills each with a Required % target, optionally scoped to a Department.
Analyze gaps.Run gap analysis shows org readiness, per-skill coverage with suggested courses, and a per-person drill-down (current% vs required%). The AI-gated AI Builder extracts 8–15 skills from a pasted job description or resume.
Gap-analysis population is active learners in the framework's company, narrowed by Department if set. Suggested training comes from courses tagged with the skill (falling back to a title match).

Four KPI cards — Total Users, Total Courses, Active Enrollments, Completion Rate — plus login & adoption analytics (web vs mobile vs installed app).
A Platform health gauge scored /100 with a letter grade, from four factors: Engagement, Completion, Certification, Adoption.
Enrollment trend, completion-by-course, top courses, an activity feed, and a Compliance overview (On track / Expiring / Expired) that agrees with the Compliance screen.
Reports
Pick a report. Tabs cover Overview, Enrollments, Courses, Learners, Certificates, Paths, Assessments, Skills, Usage, Acknowledgements, plus Builder and Scheduler.
Export. Use Excel, PDF, and Export CSV (server-side export for Enrollments and Certificates).
Build custom. On Builder, choose a module and toggle columns → Build Custom Report. On Scheduler, Add Schedule emails a recurring export on a Daily / Weekly / Monthly cadence.
A Usage report shows active time, logins, and time-by-module for your people. All figures are live — empty states simply mean nothing has been created yet.
Compliance

Track. Filter by All / Active / Expiring soon / Expired; each row shows a completion bar and status pill.
Reassign after expiry. On an expiring/expired row, Action lists everyone affected — pick a scope, set New due in N days, and Reassign.
Recurring requirements auto-reopen and re-notify the target population when the interval elapses. The Action button only appears on expiring/expired rows.
Audit Log

A read-only, company-scoped record of every mutating/admin action — who did what, when, and from where.

Custom rules.New rule → set a trigger (On event from a large catalogue, or Scheduled), a recipient (learner / manager / both), one or more Channels, and a template.
Test.Send test delivers a rule to you; Recently sent shows the delivery log.
In-app and email work out of the box; push / SMS / WhatsApp need provider keys (an asterisk marks an unconfigured channel). Stack rules with different day milestones to build escalation chains. Custom events can be fired from HRMS or other systems via API.

SSO (OIDC) — Add OIDC provider with your IdP's authorization/token/userinfo URLs, client ID/secret, scopes, default role, and auto-create toggle. Register the shown Redirect URI with your IdP, then Enable.
HRMS (REST) — Add REST connector with a base URL, employees path, auth, and a JSON field mapping. Always Test (it reports fetched vs usable records) before Sync now.
Conferencing /admin/integrations
Set a company-wide default platform (Teams / Zoom / Google Meet / in-person), then enter each provider's Credentials and Connect. Virtual training sessions then auto-create meetings.
RIDER Integration /admin/integration
A bidirectional HR/LMS connector (currently a demo): simulate inbound users/assignments, push outbound completions, scores, certificates, and attendance, and watch the sync activity log.
All credentials are encrypted and scoped to your company; leaving a secret field blank keeps the stored value. Both SSO and HRMS stay off until you tick Enable.

Auth & languages. Toggle which login methods appear (Google, Microsoft, SAML, Forgot Password) and which languages the selector offers.
Splash Config /admin/splash-config
Build the post-login notification deck learners see. Set the Display frequency, add Text or Media slides, and optionally Require acknowledgement on any slide (an “I agree” gate) — results appear in Reports → Acknowledgements.
Learning Path Config /admin/learning-path-config
Choose which path visualizations learners can switch between — Journey (animated trail), Steplist (compact list), and Cosmos 3D (immersive constellation). At least one must stay enabled.
